Lien Hunt watches the visit history on every open case and flags the patients who have stopped showing up — by default after 14 days without a visit, on a threshold you set per practice. The flagged patients surface on the dashboard, in a saved view on the patient list, and in notifications, so someone actually calls them back before the gap becomes the defense’s best argument.

Lien lifecycle tracking

Every lien moves through five tracked states — Draft, Pending, Signed, Satisfied, Released — with dates, documents and the person who moved it. The status shows up on the patient list, the case header and every report, so nobody has to ask.

Patients, cases and attorneys together

One record per patient, linked to accidents, cases, insurance coverage, treatment, referrals and the attorney handling the claim. Case IDs are consistent everywhere: PT-1043, CASE-2026-0188, LN-0412.

Dashboards, reports and exports

Audit trail and access control

Lien lifecycle

Five states. One answer to “where does this lien stand?”

The lifecycle is fixed so reporting stays comparable across your whole book — but the labels and colours are yours to rename per practice.

    Draft

    The lien is prepared from the case record — patient, provider, attorney, charges — with its documents attached.

  2. 02

    Pending

    Out for signature, with the date and method it was sent recorded. Liens that sit here too long become alerts.

  3. 03

    Signed

    Executed and on file. The case and patient list show it as protected, and reporting counts the balance as covered.

  4. 04

    Satisfied

    The settlement is recorded, any reduction is applied, and the payment is tracked against the outstanding balance.

  5. 05

    Released

    Formally released. The case can close with a complete, auditable paper trail behind it.

Cases with no lien stay visible. A case that has not been protected is marked No Lien rather than left blank, so an unsigned-lien view is a one-click filter instead of an afternoon of spreadsheet archaeology.

The portal will give referring attorneys their own sign-in, scoped to the cases they are actually on. They will pull the status and records they need, you will stop retyping the same update six times a week, and every exchange will be logged. Role-based access control

Owner, case manager, clinical, billing and attorney roles ship configured — and you can build custom roles from granular permission keys.

Two-factor authentication

App-based TOTP with one-time recovery codes. Practices can require it for every member of the organization.

Append-only audit trail

Creates, updates, deletes, status changes, exports and sensitive-record views, each with actor, timestamp and a field-level before/after diff.

Tenant isolation at the database

Every practice’s rows are separated by database-enforced row-level security, not by a filter someone might forget to write.

Sensitive data minimised

Identifiers such as Tax IDs and SSNs are masked by default, revealing them is a logged action, and patient data never appears in system logs or notification emails.

Session policy you control

Configurable idle timeout and a server-enforced absolute session lifetime, with a live list of sessions each user can revoke.

A note on wording. No software is “HIPAA certified” — no such certification exists. Lien Hunt provides HIPAA-conscious controls designed to support your compliance program, and we will sign a Business Associate Agreement. Compliance is a shared responsibility between your practice and us.
